This policy explains how FirstIn Preplan collects, uses, shares, and protects information through the website, trial signup, department workspaces, subscription features, and related services.
Information we collect
We collect information you submit through the website, demo request flow, trial signup, account setup, department settings, imports, uploads, forms, and support communications. This may include names, emails, phone numbers, department names, department addresses, zip codes, referral codes, login and role information, and any notes you choose to provide.
Department and operational data
Authorized users may add or import department operational data, including preplans, building details, addresses, hydrants, map coordinates, site notes, photos, files, tactical defaults, command-board information, stations, personnel records, qualifications, roster assignments, shift trades, calendar events, invitations, notifications, and related administrative records. Departments decide what operational data they enter and who should have access.
Billing, partner, and referral information
Billing and subscription activity is processed through Stripe. We may store related customer identifiers, subscription status, billing cadence, renewal timing, pricing tier, invoice references, and department metadata needed to manage access. If a partner referral code is used, we may associate that department with the approved partner for referral tracking, payout review, and account support.
Technical information, cookies, and storage
We and our service providers may collect technical information such as IP address, device and browser details, request logs, authentication activity, error logs, session cookies, and browser storage needed to keep users signed in, protect accounts, remember preferences, troubleshoot issues, and operate the service. The site does not need cross-site advertising cookies to provide the core product experience.
How we use information
We use information to provide and secure the service, create and manage trial accounts, authenticate users, route department access, process billing, send invitations and notifications, support optional SMS delivery, provide maps and address lookup, respond to demo and support requests, improve product workflows, prevent abuse, enforce limits, satisfy legal obligations, and maintain records needed for business operations.
How information is shared
Department data is shared with authorized users in that department based on their assigned access and role. We may share information with service providers that help operate the website and app, including hosting, database, authentication, file storage, payment, messaging, mapping, logging, security, and support providers. We may also disclose information if required by law, to protect rights and safety, to prevent fraud or abuse, in connection with a business transfer, or with your direction or consent.
Payments and SMS
Payment card details are handled by Stripe, and we do not store full card numbers on our servers. Optional SMS messages are sent only when messaging is configured and a department user chooses to send them to personnel with saved phone numbers. Wireless carriers and messaging providers may process message metadata and delivery information.
Retention
We keep information for as long as needed to provide the service, support departments, maintain security, comply with legal and billing obligations, resolve disputes, and operate backups. Trial accounts currently run for 14 days, and inactive trial department data may be deleted after approximately 30 additional days unless the department is activated or another arrangement is made. Some logs, backups, invoices, and security records may remain for a limited period after deletion or cancellation.
Security
We use reasonable administrative, technical, and organizational measures designed to protect information. No online service can guarantee perfect security, and departments should use strong passwords, limit access to authorized personnel, keep contact information current, and promptly report suspected unauthorized access.
Your choices
Department admins can update many department records and user access settings inside the service. You may contact us to request help accessing, correcting, exporting, or deleting information associated with your department account. We may need to verify your authority before acting on account or department-level requests.
Children
FirstIn Preplan is intended for fire departments, public-safety organizations, and authorized professional users. It is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information, contact us so we can review and remove it when appropriate.
Changes to this policy
We may update this Privacy Policy as the website, trial, partner program, billing model, integrations, or service features change. The updated version will be posted here with a new effective date.
